The practical answer. Keep an on-premises server when it remains supported, suitable and necessary for your equipment. Consider cloud hosting for compatible applications used remotely. If the server only shares documents, a file-storage service may be enough. Start with the work people must do, then compare future costs and recovery.

Inventory less visible roles before retiring a server: identity, permissions, scheduled jobs, certificates and application connections. A machine described as a file server may also run a nightly accounting export.
A Windows network share can itself be hosted, as Azure Files illustrates. A drive letter does not require equipment in your office. Application compatibility, identity and response times still need testing.
Can people work when Internet access fails?
Test the essential tasks over your backup connection: opening a case, issuing an invoice and saving an order. A connection sufficient for email may not support every employee at once. A local server can also depend on online licensing, authentication or external services; its location does not prove offline operation.
For a useful pilot, nominate a user, a representative data set and a busy-period workload. Record the time taken to open and save the same job locally and remotely, including its linked files. Have the business owner agree acceptable results before comparing them. A fast speed test is not an application acceptance test.
Which costs less?
Compare future spending for equivalent service over the same period. An already-paid server should not be charged again as a new purchase. Include maintenance and any replacement falling within the comparison period.

Separate the cash comparison from operational constraints. If one option cannot run the required application or meet the recovery objective, a lower total does not make it an acceptable equivalent. Document that failed requirement rather than inventing a financial adjustment.
What must the proposal clarify?
- Who administers the service? Hosting does not automatically include managed IT. Shared responsibility changes with the service model.
- When can people resume work? Acknowledging an incident and restoring usable service are different commitments. Ask for a recovery test.
- How do you leave? Specify data, configurations, access, export formats, timescales and transfer costs.
